Billing Specialist

Job Description

Position Overview:
We are seeking a detail-oriented and proactive individual to support our commercial operations through accurate billing, documentation management, and administrative assistance. This role is essential in ensuring timely billing cycles and maintaining up-to-date project records.

Key Responsibilities:

  • Process commercial invoices, including AIA documentation, and enter billing details into various software platforms.

  • Support change order tracking and documentation.

  • Assist with client documentation requests, including Certificates of Insurance (COIs), W-9 forms, and safety materials.

  • Help assemble and manage project-specific submittals and product data sheets.

  • Generate job tickets, product schedules, and maintain backlog and tracking spreadsheets.

  • Work closely with Project Managers to coordinate and submit monthly billings.

  • Organize and track RFIs, ASIs, and other project-specific paperwork throughout each project lifecycle.

  • Monitor and record use tax and monthly material installations for individual jobs.

  • Oversee lien release documentation.

  • Support special assignments and administrative tasks as needed.

Qualifications:

  • Previous experience in commercial billing, particularly in a construction or project-based environment.

  • Strong working knowledge of Microsoft Word and Excel; spreadsheet management is essential.

  • Experience with SAP is a plus, but not mandatory.

  • Strong communication skills, both written and verbal, with the ability to collaborate across teams.

  • Excellent attention to detail and organizational abilities.

  • Capable of identifying and resolving issues proactively.

  • Must be deadline-driven and able to manage multiple priorities effectively.
